How to Fix a Printer That Won't Print

Most printer problems are software issues rather than hardware failures. Work through these steps before buying a new printer.

Likely causes

  • Print queue stuck or corrupted
  • Printer set as offline in Windows
  • Out of ink or toner
  • Paper jam (even a small one)
  • Outdated or corrupt printer driver
  • USB or wireless connection lost

Step-by-step fix

  1. 1
    Check the printer display

Most printers show an error code or message. Note it and look it up on the manufacturer's support site.

  2. 2
    Clear the print queue

Go to Settings โ†’ Bluetooth & devices โ†’ Printers & scanners โ†’ click your printer โ†’ Open print queue โ†’ cancel all documents.

  3. 3
Set the printer as default and online

In Printers & scanners, click the printer โ†’ Set as default. Also right-click the printer in the queue and ensure "Use Printer Offline" is NOT ticked.

  4. 4
    Restart the Print Spooler

Search "Services" in Windows โ†’ find "Print Spooler" โ†’ right-click โ†’ Restart.

  5. 5
    Check ink and paper

Even if the cartridge has some ink, low levels can prevent printing. Check for paper jams โ€” even a small torn piece can stop printing entirely.

  6. 6
    Reinstall the printer driver

Remove the printer from Windows, download the latest driver from the manufacturer's website, and reinstall.
